Best AI Appointment Setters for Agencies in 2026: Priced and Sourced

In short

The best AI appointment setter for an agency depends on the channel the lead is already on: Appointwise, SetSmart or Setter AI for text and DM follow-up from $97 to $497 a month, a voice agent built on Retell or Bland from $0.07 a minute if you will run it, or a managed service. Paramount's AI Lead Responder sends people to your booking link; it never books.

The best AI appointment setter for an agency depends on the channel the lead is already on: Appointwise, SetSmart or Setter AI if the follow-up happens by text, WhatsApp or Instagram DM, from $97 to $497 a month; a voice agent you build on Retell or Bland from $0.07 a minute if someone at the agency will run it; and a managed service if nobody will. I run Paramount Exposure, so I am a vendor in the adjacent category and I rank nobody. One line before anything else: the $497 AI Lead Responder I sell is not an appointment setter. It answers website inquiries in under 60 seconds and sends qualified people to your booking link. It never books. If you need software that writes to a calendar on a prospect's behalf, the vendors below do that and I do not.

What I can give you is the sorting the vendor roundups skip: which setters work on which channel, what each publishes as a price (read from the vendor's own page on 2026-10-14, linked in every row), what an agency should ask about sub-accounts and ownership, and the law that governs a machine that texts and calls on your clients' behalf.

What an AI appointment setter actually does

There are three jobs. Speed: a lead arrives and something answers inside a minute instead of the next morning. Qualification: the setter asks the two or three questions that decide whether the person belongs on a calendar. Booking: it offers times, confirms one and writes the appointment into the calendar or the CRM.

Products differ in which of the three they own. Text setters own all three on text channels. Voice platforms give you the raw material to build all three on the phone. Managed services do the work and charge for the labour. A fourth kind of product, the one I sell, does the first two jobs and hands the third to the prospect: it sends the person to the booking link and lets them choose a time. That is a choice about where the booking decision lives, not a missing feature, and it is why it does not belong in a list of setters.

The five criteria

Channel match. A setter that books well over SMS is useless for a client whose leads arrive by phone. Pull the client's channel split for the last 90 days first.

Who holds the consent. Every marketing text and AI call the setter sends is regulated, and the consent has to belong to the client it acts for. If the vendor cannot show you the consent record, the agency carries the exposure.

Sub-accounts and ownership. Ask what a second client costs, whether the client can be handed their own account at exit, and who owns the conversation history.

What "qualified" means in writing. A product that reports "appointments set" will count differently from the client who pays for them. Agree the definition in the contract.

Price shape. Credits, minutes, seats, sub-accounts and flat fees do not compare on a headline number. Model a month at the client's real volume.

The options, with published prices

Prices checked 2026-10-14. Each figure was read from the vendor's own pricing page that day; the source column links to it. "Quoted" means the page shows no number. The fuller write-ups are in Retell AI alternatives, Bland AI alternatives, Synthflow alternatives and MyNewStaff alternatives; the voice platforms are compared on their own terms in best AI cold calling software for agencies, and every head-to-head is on the comparisons hub. What we checked, and when

Ten options, one of them mine, every price from the vendor's page on 2026-10-14. Where a page contradicted itself the table says so: Appointwise's Starter figure is the homepage's "plans start at $97" line, because the Starter card itself does not render; Setter AI's credits per lead are undefined; MyNewStaff's Brooke page also says "starts at $249/mo" for startups, which conflicts with its $997 Starter tier. Review scores, testimonials and client names are absent because I have verified none.

Text and DM setters: Appointwise, SetSmart, Setter AI

This is the lane most agency searches are about, because most agency clients generate leads from paid social and the first contact is a form or a DM.

Appointwise is built for agencies on GoHighLevel: the $297 Growth tier carries ten client sub-accounts with ten AI agents each, and extra clients are $29 a month apiece, the clearest agency price shape in the category. SetSmart is the DM specialist at $99 a month for 1,000 AI messages; above that the page says usage-based and prints no rate, so ask for it in writing. Setter AI is the most expensive and the hardest to model: pricing is per credit and the page never defines how many credits a lead consumes. For a client whose leads arrive by WhatsApp and whose booking lives on Calendly it is the direct fit; price the credits first.

The limit of the lane: text setters do not take calls, and a marketing text to a cell phone is a regulated call.

Voice agents you build: Retell, Bland, Synthflow, GoHighLevel

The second lane is infrastructure. You get a platform, a model, a voice and a phone number, and somebody at the agency designs the conversation, the calendar connection and the fallbacks. Done well, the agency owns an asset for every client. Done badly, it owns a liability that calls people it should not.

Retell prices by component, a $0.055 voice engine plus model, text-to-speech and telephony, with the page's own estimator landing at $0.11 a minute. Bland folds the model into one talk rate, $0.14 a minute on the free Start tier and $0.12 on the $299 Build tier. Synthflow has retired self-serve pricing; the page shows a single Enterprise plan from $30,000 a year. GoHighLevel's Voice AI is $0.045 a minute on the voice engine plus text-to-speech, tokens and phone charges, which matters only if the client is already on the platform.

This lane fits an agency with a builder on staff, enough call volume to amortise the build, and the discipline to put the compliance logic into the agent before the first dial. Head-to-heads: Retell, Bland, Synthflow.

Managed: 11x Julian, MyNewStaff Brooke, and what Paramount runs instead

The third lane is labour. 11x's Julian answers inbound calls and chats as a managed agent from $5,333 a month for voice and $2,417 for chat, billed annually and metered in calls. MyNewStaff's Brooke is a managed outbound voice caller from $997 a month for 500 voice minutes, $0.25 a minute above that. Both put the build on the vendor and the bill on the volume. Paramount does not sell a setter; what it runs instead is described below, and the direct comparison is on MyNewStaff vs Paramount.

If you run an agency

Four questions decide the agency case.

What does the second client cost? Appointwise prints it ($29 a sub-account); GoHighLevel prints it ($50 or $97 per sub-account); Retell and Bland charge per minute; Setter AI and SetSmart price by credits, so a second client is a second plan.

Who is the seller? Under the FTC's telemarketing rule each client is the "seller" and your agency is the "telemarketer". Every seller must hold its own Do Not Call Registry subscription, and a telemarketer "cannot purchase the list once and then provide the data to all of its Clients" (FTC DNC Q&A).

Can liability be passed down? No. The FTC says a company "can't contract away your legal responsibility to comply with the law" (FTC CAN-SPAM guide); the telemarketing rule works the same way.

What does the client keep at exit? If the answer is "nothing", the client is renting your setter, which is fair as long as everyone knows it. Paramount's answer, on the AI SDR service page, is "Everything", and the AI appointment setting page says the same: you leave with everything built.

The law an appointment setter has to obey

Not legal advice; have counsel review any script before it goes live. These rules bind every product on this page.

A text is a call. The FCC's rules treat texts as calls and the Do Not Call protections expressly cover them (47 CFR 64.1200). A marketing text sent by an automated system to a cell phone needs prior express written consent: a signed agreement, e-signature allowed, that names the number, authorises automated marketing from the named seller and says consent is not a condition of purchase.

An AI voice is an artificial voice. The FCC confirmed in February 2024 that AI-generated voices fall under the TCPA's "artificial or prerecorded voice" restrictions (FCC 24-17). An AI setter that calls a cell phone to sell needs the same written consent, and the statute has no business-to-business exception.

Opt-outs are informal. Since 11 April 2025 consent can be revoked by any reasonable means, STOP, QUIT, END, REVOKE, OPT OUT, CANCEL, UNSUBSCRIBE or plain words, honoured within ten business days (FCC 24-24).

Say it is an AI. No federal rule yet requires it on a call; the FCC proposed one in 2024 (FCC 24-84). Maine requires clear notice when a chatbot, by text or voice, could be mistaken for a person (10 M.R.S. 1500-DD); Utah gives a safe harbour to systems that disclose at the outset (SB 226); California's bot law covers online chat (B&P 17941). One first sentence satisfies all of them.

States add their own rules. Florida (Fla. Stat. 501.616(6)), Oklahoma (15 O.S. 775C.3) and Maryland (Md. Comm. Law 14-4502) cap sales calls at three per 24 hours between 8 a.m. and 8 p.m.; Connecticut requires written consent for every sales call to a consumer (chapter 743m); New Jersey bars unsolicited sales calls to cell phones (N.J.S.A. 56:8-130). In the UK an automated marketing call needs the called business's prior consent (PECR regulation 19).

The rule that satisfies all of it: automated texts and AI calls go only to numbers with written consent for that client; the agent says it is an AI in its first sentence; lists are scrubbed inside 31 days; any opt-out is honoured the same day on every channel.

Where Paramount fits, honestly

Paramount Exposure is an AI development and software agency, and none of its products is a setter.

The $497 AI Lead Responder, one time, answers website inquiries in under 60 seconds, qualifies them in your voice and sends people to your booking link. The Speed-to-Lead Caller is a $297-a-month add-on including 200 minutes ($0.25 a minute after) that calls a new inquiry within 60 seconds, only when the form it came from carried the consent language we supply; it says it is an AI assistant in its first sentence and sends the booking link by SMS or email.

For outbound, the Outbound Install is $2,500, delivered in 14 days: the list, the compliance pack, the domains, inboxes and phone number in your name, the sequences, and the reply handler that answers interested replies in under a minute and sends them to your booking link. The Outbound Engine runs it at $2,500 a month (Pilot) or $5,000 (Scale), three-month minimum, with a 45-day exit. You own every asset whether or not you continue. We guarantee the inputs we control, contacts verified, deliverability gates met, replies answered in under 60 seconds, scrubs logged, and any missed month is credited. AI voice calls go only to business landlines, after a wireless and Do Not Call scrub removes every cell number, and to people who gave prior express written consent; the agent says it is an AI in its first sentence. We do not guarantee meetings; we have run this engine for no client yet, and the first client will be Paramount itself, and the weekly numbers from our own campaign will be published, misses included, at /outbound/proof. Scope and every tier on the AI SDR service page and the AI lead generation page; the Speed-to-Lead Caller is priced on the AI appointment setting page.

The free first step is the Intake Index: six questions, scored in your browser, on how your inquiries are handled today. If the leak is inbound response, buy the responder and skip every setter on this page.

Frequently asked questions

What is the best AI appointment setter for agencies?

For agencies on GoHighLevel, Appointwise at $297 a month with ten sub-accounts; for DM-led funnels, SetSmart at $99 a month; for text follow-up to a Calendly link, Setter AI from $497 a month (per the vendors' pages, 2026-10-14). Agencies with a builder can own a voice agent on Retell or Bland from $0.07 a minute.

How much does an AI appointment setter cost?

Published prices run from $97 a month (Appointwise) and $99 (SetSmart) through $497 a month (Setter AI) to managed services at $997 a month and up (MyNewStaff Brooke) or $2,417 to $5,333 a month billed annually (11x Julian), as checked on 2026-10-14. Voice platforms charge per minute, $0.07 to $0.31 at Retell and $0.12 to $0.14 at Bland.

Does Paramount's AI Lead Responder book appointments?

No. It answers website inquiries in under 60 seconds, qualifies them and sends people to your booking link, where they choose a time themselves. It never writes to your calendar, and neither does the outbound engine.

Yes, with written consent from the person for that business, an AI disclosure, a registry scrub and an opt-out that is honoured. Without consent, an automated marketing text or an AI-voice call to a cell phone violates the TCPA (FCC 24-17).
