Engagement II
The Operating
System.
Custom-built internal systems for operations-minded buyers. Internal tools, AI agents embedded in workflows, system integrations, and the data infrastructure that sits under all of it.
Who it is for
Operators who have already built revenue and need the system underneath to catch up.
Engagement II is for firms where the bottleneck is no longer demand but operations. You have clients. You have revenue. What you do not have is the software to run the practice at scale without adding headcount — and the off-the-shelf tools cannot bend to how your firm actually works.
What we install
Four modules, configured for your firm.
Internal tools and portals
Custom dashboards, admin panels, client portals, and partner interfaces — built for your workflow, not adapted from someone else's.
AI agents embedded in workflows
Task-specific AI agents that operate inside your existing operations. Document review, triage, qualification, drafting — whatever the bottleneck is.
System integrations
Your CRM, your practice management software, your accounting, your scheduling — wired together so data flows instead of being re-entered.
Workflow automation
The repetitive work that eats hours: onboarding, intake, follow-up, reporting. Automated with auditable logic, not fragile no-code chains.
Install timeline
30–90 days, scope-dependent.
Every engagement is scoped in four phases. The duration depends on how much you want built. What does not vary is the cadence: weekly progress, milestone-based delivery, working software at every check-in.
Phase I
Days 1–7
Architecture review
- Map current operations + friction points
- Define the critical workflows to automate first
- Scope integrations + data flow
Phase II
Days 8–45
Build
- Internal tools + portals live in staging
- AI agents configured + trained on your domain
- System integrations wired and tested
Phase III
Days 46–70
Integration + QA
- End-to-end QA across every workflow
- Team walkthrough + feedback loop
- Permissions, roles, audit logging
Phase IV
Days 71–90
Handoff
- Production deployment
- Documentation + team training
- 30 days of post-launch support included
Questions
What operators ask.
How is this different from hiring a software development agency?
One principal from discovery to deployment. Fixed-price phases, not time-and-materials. The practice takes a limited number of engagements, which means the work that ships is the work Max built — not the work a junior handed off to offshore.
What if my operations already have software in place?
We build around what works. Most engagements involve integrating with existing systems — not replacing them — and automating the manual glue between them.
Is the $25,000 figure a minimum or a typical?
A minimum. A simple internal portal with a few integrations lands near $25–35K. A multi-team workflow with embedded AI agents is typically $50–100K+. The scope conversation produces a fixed price before any work begins.
Who owns the code?
You do. Every engagement delivers source code, documentation, and deployment access. No vendor lock-in, no ongoing license to use what you paid to build.
Your firm, instrumented.
A scope conversation is thirty minutes, complimentary, and decides nothing. If we are not a fit, we will tell you so.
